Like any new program, it is important to first take the time to learn some of the basics associated with what makes this new platform tick. Office 365, for example can help users manage their documents with a great deal of ease – one of the key features that makes this program a beneficial component in your office or personal work domain.
While navigating Office 365, one initial question that may arise is how to distinguish between its two file sharing features. For starters, there are two main places to share your important files. These options include, OneDrive and Sharepoint.
In order to gain some further awareness of how these two file sharing options work – first you can think about how the cloud has gone about changing the nature of how we share and save files. As you probably already know, prior to the cloud, the go-to for saving files was to save your documents direction onto you computer in various files and folders that would provide the basics of organization and document management.
While this served its purpose for the time-being, it did however take another step to share these files, as you would then have to send them off onto the next destination. With the cloud and with OneDrive and Sharepoint, this step has been removed and documents are easier to share and to then be accessed by other users.
What makes Office 365 even more accessible and straightforward is that the files saved to these two sharing options can be accessed from anywhere – and thus the lines of communication between co-workers and business partners are more open and they can stay even more connected.
Perhaps, you are also wondering why there are two different sharing options? Well, here I will also explain a little more about OneDrive and Sharepoint and what makes them each a unique and effective part of the Office 365 document management and sharing framework.
OneDrive
The program, OneDrive is essentially the Office 365 version of your ‘My Documents’ folder. More specifically, One Drive acts as your external hard drive and you can choose to use it for the more personal or confidential files that you may not want everyone in your organization to be able to access.
However, you can still opt to share the files you have saved in OneDrive with a select group – for example, if these documents are only meant for certain co-workers or business partners,
you can use this facet of Office 365 to achieve this more precise result.
Sharepoint
Now onto Sharepoint. Now this is the option you may want to select when you wish to share files with a larger group of business associates. Acting as your shared server option, by choosing to share through this feature, you are able to share with a greater number of people. However, that being said, Sharepoint still allows you to grant permission to select groups, based on their specific job roles and/or company sectors.
As you can see, the Office 365 program not only allows users to take advantage of the specific file sharing strategies, it also provides flexibility and elements that can meet a wide range of needs and purposes.
Once you get the hang of it, the sharing features offered via the Office 365 umbrella are quite straight to the point, and can enable you to manage your business documents with an even higher level of efficiency than ever before.
